1. Background and meanings of ID Card Automatic Input System for hotels
Operations to manage a first-class hotel require not only inter-cooperation between various departments, but also information communication and delivery between these departments. Thus, an excellent set of hotel management software shall firstly realize information transfer and sharing in the quickest, most accurate and most comprehensive way. This means that the hotel computer management system must be a network connecting both the front stage and back stage of a hotel, realizing a information high-speed channel; automatic equipments are furnished so as to achieve non-paper office inside the enterprise, promote work efficiency, and increase economic benefits.
Now for every hotel, front stage service is the most important factor as it is the most direct point reflecting hotel management and service. Work efficiency (simply understood as the time for a guest to check in) is another important index for guests to estimate the hotel level. But currently there is an efficiency bottleneck in front stage happening within confirmation and input of ID cards of guests; as previously there were no methods to automatically input the existing ID cards of our country, only hand input is applied including to photocopy the involved ID cards, which have to have guests to wait, causing resource wastage.
Hotels are also obliged to associate the public security department to register mobile population, and the Ministry of Public Security has requested nationwide hotels to carry on identity check and management for their guests. However, hotels are lack of necessary identification equipments to in-situ identify and register the ID cards displayed by guests or leasers who are going to register for residence or lease, which disable the industry to promote their technical prevention and cooperation with the public security departments for security management.
In consideration of the above-mentioned problems, we apply the Syscan ID-A1 system into the current hotel management system, giving a better solution than now.
2. Scope
Management of modern 4-statr and 5-star large-scale hotels as well as some small-middle hotels.
3. System structure and solution

In the front stage part is the Syscan ID-A1 system, which uses the operation computer in the front stage as the controller and realize integration of Ethernet card for online data communication, corresponding hotel management software, and SDK package produced by Tsinghua Wintone
pecially for ID card scanning.
Complete system structure is as shown in Fig 1, and function modules in Fig 2.
4. System advantages
- This solution significantly shortens the time for card/ pass input and saves the process of photocopy, promoting work efficiency, reducing work burden of staffs, and saving resources. Guest information can also be sent to the public security department in time, enabling the public security department to catch activities of the criminal suspected at once and making positive contribution to the whole social security work;
- Online comparison with the original ID card database of the public security department, eliminating counterfeiting documents from the base;
- Integration of text comparison and image comparison, exempting effects from the subjective factors of operators;
- Comparison with the original materials and turn effective only when the identified result is achieved, making no wrong judgments;
Current work computers as the control core and current network as the transfer media, giving low costs and no waiting time. Other advantages include that operators require no training, that special computers are used for special purposes, that external disturbance can be exempted, that operating systems with own intellectual property rights are applied, and that the security is high.
